Our client is seeking a senior level Administrative Assistant to support one or more members of their senior management team. Job Responsibilities 
  • Provide administrative support including correspondence and calendar management, coordination of travel arrangements, expense reports, invoice coding, and coordination of meetings and preparation of associated materials
  • Develop and edit written reports, proposals and various written communications
  • Record-keeping and documentation practices, both paper and electronic, and legal documents
  • Assist with the planning and implementation of events and conferences
  • Website maintenance to ensure timely review, completion and distribution of current releases in an efficient and cost effective manner
  • Take and transcribe minutes, conduct and record business meetings
  • Provide back-up support to team members including peers and reception during periods of absence
  • Provide mentorship and guidance to other team members
  • Support risk management by following established policies, procedures and controls both corporately and within area of responsibility, and escalate discrepancies to management
Candidate Qualifications
  • Related university, college, formal certification or a combination of formal education and a minimum of ten or more years of experience 
  • Advanced skill level in using Microsoft Office Suite products, especially Word, PowerPoint and Outlook
  • Intermediate skill level in MS Excel
  • Advanced proficiency in Adobe Acrobat Pro
  • Demonstrated expertise in coordinating board meetings, taking accurate minutes and preparing board communications
  • Discretion in handling confidential and sensitive information
  • Team-oriented, having experience collaborating with multiple levels and sectors of the organization
  • Demonstrated ability to think critically and take initiative in a fast-paced environment
  • Ability to prioritize effort and manage multiple projects and initiatives concurrently
  • Must be bondable
