Job Responsibilities 
  • Manage and maintain the CEO’s calendar for the scheduling and coordination of appointments as well as preparing and providing relevant material
  • Organize and schedule meetings, including contacting participants, booking rooms and ordering refreshments as required
  • Work closely with the Sales, Project Development and Design teams, applying project management skills
  • Attend meetings as required, record, transcribe and distribute meeting minutes, identify and track action items
  • Arrange the CEO’s corporate and personal travel (both domestic and international), hotel and car reservations and personal itinerary 
  • Manage incoming and outgoing mail, phone calls and other correspondence for the CEO, and respond to routine inquiries
  • Provide high-level administrative support at the executive level; composing and/or editing a variety of documents and presentations. This may include highly confidential correspondence, memoranda, contracts and proposals as well as routine letters, memos, reports, agendas and minutes
  • Maintain a filing system for the CEO
  • Complete special projects as assigned by the CEO
Candidate Qualifications
  • Proven work experience as an Executive Assistant or similar role providing support to a CEO and executive leadership team
  • Ability to identify and address the high-level administrative needs of the CEO
  • Knowledge of office procedures and experience using office equipment, including printers, scanners and telecom systems
  • Project management experience combined with solid experience with office management systems, ERPs
  • Advanced Microsoft Office skills (i.e. Word, Excel, PowerPoint) combined with a familiarity with online calendars and cloud systems
  • Excellent written and verbal communication skills and project management skills
  • Experience exercising discretion and confidentiality with sensitive company information
  • Excellent organizational skills with an ability to think proactively and prioritize work
  • Ability to work both independently and collaboratively as part of a team
  • Access to a vehicle and a valid Alberta driver’s license
  • Experience in the construction or modular industry would be an asset
  • Proposal and contract writing experience would be an asset
  • Additional qualifications as a personal assistant, secretary, and/or administrative professional are considered an asset
