Do you have superior customer service skills that have been developed though experience?  Our client is looking for an Executive Assistant (EA) to provide administrative and advisory support to the President and CEO as well as the Chairman of the Board of a Canadian owned, and operated company.  If you feel you could excel in this position, please apply below. 

Job Responsibilities 
  • Prepare high quality and substantial board packages for optimal time utilization 
  • Managing internal and external relationships in a proactive and structured manner  
  • Support accountability by coordinating action items following Board and Executive Leadership Team meetings
  • Identify opportunities to drive efficiencies and continuously improve administration processes and procedures
  • Leads by example, setting the standard for professional behavior and work habits that support a positive, performance-based environment
  • Establish and maintain constructive working relationships with external parties and internal parties 
  • Provide strong leadership and mentor to the broader executive administration team, identifying continuous improvement opportunities
  • Research and profile external contacts to help the CEO prepare for engagements. Filters, delegates and responds to correspondence on behalf of the CEO 
  • Gather data from the CEO’s direct reports and coordinate monthly reporting
  • Provide the full spectrum of administrative support to the CEO, including managing telephone inquiries, screening requests from internal and external parties, and managing the CEO’s schedule
  • Take the lead role in the planning and execution CEO commitments, including communications, meetings, presentations, submissions, travel and events
  • Deliver a high level of customer service to internal and external stakeholders 

Candidate Qualifications 
  • A Minimum of 10 years’ related experience in a Senior Administrative role
  • A degree in Management or Business Administration in Office Management or Business Administration
  • Three to five years’ experience working in an Executive Assistant capacity and managing an Executive Office (CEO), in a large organization 
  • Advanced knowledge of the Microsoft suite of products (specifically Word, Power Point and Outlook, and intermediate knowledge of Excel)
  • Excellent interpersonal skills to work with individual in all levels of the company 
  • Excellent time management and organizational skill set to anticipate problems and ensure contingency plans are available and action-ed if needed
