Job Responsibilities
  • Assist in coordinating and facilitating activities related to legislative mandates
  • Track the processing of permits, approvals, and orders
  • Advise staff of pending deadlines and information requirements
  • Coordinate efforts to resolve issues of nonpayment of fees or appeals as well as reviews of fee assessments
  • Maintain and prepare time sheets for staff
  • Post, compile, check, process, maintain, and control a variety of records, files, and 
  • Reconcile and balance complex activity control information requiring procedural determinations
  • Generate lists, invoices, and other information from databases and spreadsheets
  • Monitor charges assessed for activities and issue purchase orders as required
  • New employee set-ups, maintain security key and radio custodian
  • Set up and maintain the janitorial services
  • First aid scheduling, travel authorizations, employee expense claims, minute taking for meetings
  • Develop and implement  new and/or improved office methods and procedures as well as prepare and maintain documentation on new procedures
  • Provides information and assistance to the public on a variety of matters 
  • Assist in planning and arranging information meetings, seminars, and workshops
  • Monitor divisional administrative budget expenditures and check that expenditures have been allocated to appropriate accounts

Candidate Qualifications
  • Certificate or diploma in Office or Business Administration
  • Five+ years of experience in a similar role
  • Experience in an operations type environment
  • Some supervisory experience 
  • Intermediate skills with Microsoft Office skills (MS Word, Excel, PowerPoint and Outlook) as well as tracking systems 
  • Keen attention to detail as they will be responsible for formatting various documents 
  • Self-starter and multi-tasker, strong organizational skills and ability to plan and schedule task efficiently.
  • Strong judgement and decision-making skills, a problem-solver and takes initiative to figure out issues 
  • Perform well under pressure in a fast paced environment
  • Comfortable working at an operations facility
  • First Aid Level 2 is an asset (or desire to obtain First Level 2)
  • Meeting support - booking, preparing agenda and minute taking experience would be an asset
