Our client in Calgary is looking for a full time Administrative Assistant on a one year contract that will come in and take initiative and takes pride in a job well done.  If this sounds like a perfect fit, please apply below.

Job Responsibilities
  • Provide administrative support to the  professional staff 
  • Process and present  financial statements and notes 
  • Process and e-file of corporate and personal tax returns and other special returns/forms as required
  • Filing (paper and electronic) of information, including government forms and reports
  • Send confidential information or documents to clients using either email, courier, mail, fax, or portal
  • Prepare, process and distribute various draft and routine correspondence, memos, and reports 
  • Maintain the  file room and electronic filing system
  • Work with staff to set up and help track projects to ensure deadlines are met and work is completed on a timely basis
  • Prepare client invoices and billings 
  • Assist with entering the partners time into the  time and billing system
  • Process of staff expense reports
  • Assist the partners in booking appointments 
  • Assist the professional staff with year-end file procedures as required
  • Track privacy, CRA and provincial authorizations for clients
  • Organize and implement client mailings related to changes in legislation and for personal, trust and corporate filing requirements
  • Some accounts payable duties may be required
  • Reception coverage when required
  • Provide support to our office administrator on special projects

Candidate Qualifications
  • Five + years of relevant office administration experience
  • Post-secondary education an asset
  • Experience in a the public practice industry would be an asset
  • Excellent communication and organizational skills, ability to communicate with all levels of the business
  • Proficient with Microsoft Office (Word, Excel, Outlook, PowerPoint)
  • Experience with ProFile or TaxPrep would be an asset
  • Proven ability to multitask and be detail oriented
