Our client Calgary is seeking a highly professional Executive Assistant to join their team on a permanent basis. The successful candidate will provide administrative support to the President and CEO.  If you have superior organizational skills, strong communication skills and enjoy working in a busy environment please apply below!

Job Responsibilities
  • Manage the CEO’s calendar with efficiency and prioritize incoming requests 
  • Respond to internal and external correspondence and inquiries
  • Assist in the preparation of internal and external meetings including reminders of upcoming meetings and appointments, maintain up to date itineraries, provide all required documentation and materials 
  • Make travel arrangements, prepare individualized itineraries and travel documentation
  • Provide administrative support to relevant committees 
  • Manage, coordinate and oversee social events, special projects, dinners etc 
  • Manage and administer process for the President’s direct reports including processing professional development requests and employee leave forms
  • Maintain professional working relationships with internal and external stakeholders and work collaboratively with other team members

Candidate Qualifications 
  • Post-Secondary education
  • Five +years progressive executive support experience
  • Previous experience within a post-secondary institution preferred
  • Experience in handling sensitive and confidential information appropriately
  • Expert in Microsoft Office (Outlook, Word, Excel, Power Point)
  • Awareness of civic, provincial and federal government politics
  • Excellent written and oral communication skills 
  • Skilled in planning and organizing and able to adapt to quickly changing priorities
  • Able to work independently with a high degree of initiative, discretion and self-motivation
  • Strong gate keeping skills yet highly approachable, friendly, and collaborative
  • Extremely professional, confident, and a high level of integrity
  • Able to handle last minutes changes, ambiguity, exercise good judgment 
  • Strong time management skills with an innate sense of which projects to prioritize 
  • Exceptional customer service standards
