Job Description

  • Act as confidential administrative support to SEM Steering Committee and sub-committees – includes minute taking functionality
  • Assists in managing the department budget.  This position will manage, track and codes all budget expenses
  • Manages all incoming and outgoing mail for the department
  • Identifies, reviews, provides recommendations and implements the improvements of office procedures and efficiencies within the department
  • Reviews, provides recommendations to update, communicates and enforces company policies and procedures
  • Plan, organizes and coordinates internal and external meetings/functions for the department
  • Responsible for coordinating office requirements such as moves, furniture, phone and computer needs for all staff
  • Manages the AVP, Associate Director and SEM Coordinator’s schedule
  • Initiates and coordinates the “Approval to Hire” process and job postings in conjunction with the Leadership group
  • May participate in interview process for new hires for the department
  • Handles all processes and payroll issues such as creating contracts and/or wage authorizations for new staff
  • Manages the processing and tracking of vacation, sick/leave requests and ensures entry of this information into Banner for department staff
  • Prepares PowerPoint presentations
  • Prepares documentation pertaining to expense claims, employee PD requests
  • Process payments/reconciliation for SEM team
Candidate Qualifications
  • Minimum high school diploma. Completion of post-secondary education in administration or business preferred
  • Minimum two years related experience in an administrative assistant role
  • Previous post-secondary experience an asset
  • Strong verbal and written communication skills
  • Must be able to multi-task and stay organized
  • Excellent service orientation skills
