Are you professional, energetic and computer savvy?  Our professional services client is looking for an Administrative Assistant to support the front of the house as well as the Partners, Consultants and Office Manager.  This role has a variety of responsibilities where no Two days are the same.  

Job Responsibilities
  • Provides reception, clerical and administrative support
  • Answering a multi-line telephone system and directing calls appropriately and professionally
  • Handle any email with a timely response and forward to appropriate personnel
  • Candidate file creation, update and distribution of resumes to appropriate consultant for review
  • Maintenance of Search Binders management from set-up to close-out including photocopying, data input, maintenance and compilation
  • Create and manage job postings from template and client documentation as well as post on the websites
  • Draft initial Proposals in response to RFPs
  • Manage travel for the team as well as clients and candidates when necessary
  • Proof read and edit all documentation for accuracy prior to distribution
  • Creative development of PowerPoint slide decks for client presentations
  • Typing correspondence, reports, spreadsheets and other documents from handwritten and electronic drafts as required

Candidate Qualifications
  • Minimum five years' experience in a professional services environment
  • Proficient in the use of Microsoft Office applications including Word, Excel, PowerPoint and Outlook High level of professionalism and quality customer service
  • Ability to multi-task, be flexible and willing to take on a variety of work 
  • Excellent oral and written communication skills
  • Working knowledge in marketing and/or graphics an asset
  • Ability to work with a variety of people
  • Accuracy and attention to detail
  • Strong proofreading skills
  • Well organized with the ability to plan and prioritize
  • Self-motivated
  • Ability to relate to staff, clients and others at an appropriate level
  • Ability to meet deadlines
  • Able to work alone or within a team environment
  • Desire to provide efficient and effective services to all clients, candidates and staff
