Are you versatile, energetic and detail oriented? Our client in Mississauga  is looking for a full time Office Administrator on a permanent basis. The successful candidate will be an integral part of the team, with coordinating, and organizing all aspects of internal operations. If you have superior organizational skills and enjoy working in a fast-paced environment, this may be the perfect opportunity for you!

Job Responsibilities
  • Coordinate and implement general office services such as appointment-setting, records control, and other administrative activities
  • Coordinate budget accounting operations
  • Analyze unit operating practices such as record keeping systems, forms control, office layout, and personnel requirements, creates new systems or revises established procedures
  • Coordinate collection and preparation of financial and operations reports
  • Locate and compile information, format reports, graphs, tables, records and other sources of information
  • Assist with special events planning
  • Use various software applications such as spreadsheets, relational databases, statistical packages, and graphics packages to assemble, manipulate and/or format data and/or reports
  • Management of payables and receivables 
  • Billing customers
  • Oversee receiving, warehousing, and shipping operations 
  • Manage stock control
  • Liaise with clients, suppliers, transport companies and customs brokers

Candidate Qualifications 
  • High school diploma or equivalent required, with some bookkeeping coursework
  • Three to five+ years’ experience in a similar role
  • Proficient in Microsoft Office (Outlook, Word, Excel, PowerPoint, Teams)
  • Strong knowledge of full cycle invoicing and managing supplier invoices
  • Excellent communication skills both written and oral 
  • Skilled in planning and organizing and able to adapt to quickly changing priorities
  • Ability to work independently with a high degree of initiative and self-motivation
  • Strong gatekeeping skills yet highly approachable, friendly, and collaborative
  • Extremely professional, confident, and a high level of integrity
  • Able to handle last minutes changes, ambiguity, exercise good judgment
