Our client is seeking a senior level Administrative Assistant to support one or more members of their senior management team. Job Responsibilities 
  • Proactively manage extremely active calendars for the CEO and one or more members of the senior management team, ensure preparedness for meetings, manage ever- changing priorities, compose and prepare correspondence, coordinate travel arrangements and create expense reports
  • Work closely and effectively with the CEO and senior management team to keep them well informed of upcoming commitments and responsibilities and provide the corresponding follow-up
  • Successfully complete critical aspects of deliverables with a hands-on approach and facilitate the executive’s ability to effectively lead the organization
  • Communicate with the organization on the CEO’s behalf and coordinate logistics with high-level meetings both internally and externally
  • Attend meetings as required
  • Take and transcribe minutes, conduct and record business meetings
  • Develop and edit written reports, proposals and various written communications
  • Maintain record-keeping and documentation practices, both paper and electronic
  • Coordinate logistics for executive team activities including meetings, workshops, conferences, special projects, and events
  • Support risk management by following established policies, procedures and controls both corporately and within area of responsibility, and escalate discrepancies to management
  • Provide back-up support to administration team members, including reception during periods of absence
  • Provide mentorship and guidance to other team members 

Candidate Qualifications 
  • Related University, college, formal certification or a combination of formal education and a minimum of eight years of experience in Administration
  • Minimum of four years’ experience supporting a CEO, board of directors and/or C-suite leadership, coordinating meetings, executive calendar management, travel coordination, taking minutes and preparing communications
  • Advanced skill level in using Microsoft Word, PowerPoint and Outlook. Intermediate skill level in MS Excel.  Advanced proficiency in Adobe Acrobat Pro
  • Must be bondable
  • Proactive with strong organizational skills that reflect an ability to perform and prioritize multiple tasks seamlessly within a dynamic and ever-changing work environment
  • Strong interpersonal skills and the ability to build relationships with all stakeholders, including the senior management team, board members, external business partners and all employees
  • Ability to work both independently and within a team environment, having experience collaborating with multiple levels and business units of an organization
  • Strong work ethic, integrity and the demonstrated ability to manage stress
  • Comfortable with ambiguity and establishing processes with excellent time-management, and problem-solving skills
  • Excellent writing, editing, grammatical and research skills with excellent attention to detail
  • Ability to travel. Travel is occasional and primarily within the province of Alberta
