Our client is looking for an Executive Assistant to their CEO. The ideal candidate is a team player working closely and collaboratively with other Executive Assistants. It is important for the individual to have strong technical skills and good judgement. This position in Calgary AB is a great opportunity for a polished and professional Executive Assistant. Job Responsibilities 
  • Coordinate day-to-day administrative requirements by managing calendars, incoming mail and telephone messages 
  • Manage emails ensuring they are actioned appropriately and brought to attention
  • Draft letters, presentations, memos, reports, etc. for high level audiences
  • Anticipate needs well in advance and makes decisions to contribute to an organized work environment
  • Coordinate and arrange on-site and off-site meetings and events including logistics (communication, location, meals, equipment, materials, RSVPs)
  • Coordinate travel logistics, prepare itineraries including relevant meeting material and research
  • Manage documentation requiring signature, understanding priorities and deadlines 
  • Manages executive working files and group materials 
  • Assist with relaying invoices for approval and payment processing, preparation of annual budget and monthly G&A update for budgeting purposes
  • May be involved in special projects such as assisting with conferences, events and off-site meetings as required
  • Establishes and maintains positive, productive working relationships with internal and external parties
  • Balances conflicting priorities; exhibits sound judgment and demonstrates the ability to make reasonable decisions in the absence of direction

Candidate Qualifications 
  • College Diploma in Business Administration 
  • Seven to ten years’ experiences 
  • Strong competency in MS Office; particularly with Outlook, Excel, PowerPoint, Word, SharePoint and Adobe Acrobat  
  • Demonstrate ability to work independently, take initiative and function with a high degree of professionalism and judgement regarding confidential and sensitive matters
  • Confident communication and active listening skills are critical
