Are you a motivated, self-starter that can handle the entire administrative role for the organization – from reception to executive assistant duties?  Reporting to the President, you will be supporting three executives (one in Calgary, two in Dallas), organizing client meetings, and managing the Calgary office. This is a fast paced organization that runs around the clock, and the position is challenging.  The right individual has the ability to actively contribute to our success as a key part of our small team of entrepreneurs.   The role is located in Calgary, and also provides support to executives in their Dallas office. Job Responsibilities

  • Organization of the executive team – includes scheduling, correspondence, travel assistance, priorities, contact lists, scanning/electronic filing, IT needs, errands, expense reports
  • Reception duties - includes greeting guests, couriers, mail, answering main phone
  • Office Management – includes maintaining office equipment, stocking and maintaining kitchen, stocking supplies, ensuring cost control, implementing filing systems, developing procedures to ensure continuous improvement
  • Organizing client meetings – catering, venues, and conference room setup and clean up
  • Assist the accounting department with various clerical duties (scanning, filing, possibly AP data input, payment requests, and expense accounts)
Candidate Qualifications 
  • Smart, self-starter who is able to anticipate requirements and action accordingly to ensure timely results
  • Experience working in a small office environment dealing with requests from multiple parties
  • High School diploma with post-secondary relevant education an asset 
  • Intermediate to advanced computer skills with Microsoft Office (Outlook, Word, Excel, Powerpoint)
  • Three years minimum demonstrated experience supporting a senior level executive
  • Well organized, excellent time management skills and a strong attention to detail
  • Excellent interpersonal, verbal and written communication skills combined with positive outlook 
  • Effective collaborator and teammate with the ability to minimize drama and deal with strong personalities
  • Demonstrates responsibility and ownership – ability to see things through and manage tasks and projects to completion independently
  • Ability to multitask, adaptable to change and ability to work in a dynamic, environment
  • Proven understanding of the requirement and need for discretion and confidentiality
